Job Title: Finance & Operations Coordinator
Location: Flexible – must be comfortable working from a home-based environment
Reporting to: Executive Director/Board Treasurer
Salary: $52,000

BACKGROUND:

IndieSpace and the Indie Theater Fund celebrate and center independent theater-making in New York City by providing radically transparent, responsive and equity-focused: funding, real estate programs, professional development, and advocacy to individual artists, theater companies, and indie venues. IndieSpace and the Indie Theater Fund will be finalizing a merger in 2022 and maintaining the programming of both organizations moving forward.

Since the beginning of the COVID-19 crisis, IndieSpace and The Indie Theater Fund have provided immediate, emergency relief for independent artists and the smallest organizations in NYC in the form of Rapid Relief Emergency Grants, Venue funds, landlord negotiations, and re-opening support. In addition, IndieSpace supports historically excluded artists and addresses systemic inequities in funding, real estate and advocacy. This position will help us continue this work as we merge and expand to offer a full complement of support for the NYC Indie Artist community.

POSITION SUMMARY:

The Finance & Operations Coordinator will work full-time, with flexible hours, as a key member of our growing team, especially with the Executive Director, Randi Berry, and our Board Treasurer, Brian Berk. This position is perfect for someone interested in working in a collaborative environment with the ability to have real impact and input. The Finance & Operations Coordinator will have a committee seat on the Board of Directors and help steer the vision of our service organization.

IndieSpace/Indie Theater Fund is a distributed organization, with staff members working where they are most comfortable and effective in the New York City area. Ultimately, as we establish our first Indie Theater space, some of our operations will enjoy the ability to collaborate there face to face, as needed.

Under the guidance of our Executive Director and Board Leadership, the Finance & Operations Coordinator has the opportunity to bring their “managing is both art and science” perspective to lead the daily fiscal and operational life of the group while revolutionizing how our team functions and how we serve the theater community.

Responsibilities Include:

This is not an exhaustive list; it’s representative of the broad scope of responsibility you’ll enjoy in this position. Our work is responsive to the needs of the community – and so, sometimes, things change in the blink of an eye. Someone that can pivot quickly and shift priorities will do well in this role. We love finding efficiencies and ways to make things easier on our artists.

Financial Accounting and Reporting:

  • Generate and maintain timely and accurate financial statements and reports at both the organizational and program levels
  • Maintain accounting systems for cash management, accounts payable, accounts receivable, investments, and other balance sheet accounts
  • Manage invoices and accounts payable
  • Manage payouts to artists and tracking of all grants and lotteries
  • Ensure timely reconciliation of revenue and expense accounts
  • Develop and plan budgets
  • Manage banking and credit card relationships

Payroll and HR:

  • Work with staff, vendors, and consultants to oversee all payroll and HR functions to ensure that employees are paid in a timely and accurate manner and receive all appropriate benefits.

Program Support and Administration:

  • Data entry and management of Salesforce and Contact Lists
  • Tracking of organizational goals and metrics
  • Creation of reports for the Board, partners and funders
  • Assisting the Executive Director with general administrative tasks

In addition, the ideal candidate will have experience with online platforms such as Google Drive/Suite, Salesforce and Quickbooks. Major plus, non profit management experience.
